Switching from Calendly
Move your scheduling setup from Calendly to Caledee in a few minutes. The importer reads your Calendly account and recreates everything on Caledee — it never changes anything in Calendly.
What you need
Open Settings → Import from Calendly and paste a Calendly Personal Access Token (Calendly → Integrations & apps → API & webhooks → generate a token). We use it once to read your data and then discard it — it is never stored.
What migrates
- Event types — name, duration(s), colour, description, custom questions and the location (Meet / Teams / Zoom / phone / address / “ask the invitee”).
- Availability — your weekly hours, date overrides and time zone (daylight-saving safe).
- Past meetings — imported as read-only history that feeds your bookings list, stats and contacts (built from invitees).
- Your team — the organisation, its members, and round-robin / collective event types with their host pool. See the team section below.
What doesn’t migrate (Calendly’s API doesn’t expose it)
- Fine-grained rules — buffers, minimum notice, start increments, the booking window and daily limits. They import with Caledee defaults, so re-set them after import.
- Calendar connections and video accounts — reconnect Google / Microsoft / Zoom on Caledee.
- Payments — imported as audit history only; no Stripe link is carried over (it’s a different account).
- Single-use links and admin-managed templates have no read API, so they import as standalone event types.
Migrating a whole team
With a Calendly owner or admin token, one import migrates the entire organisation. Caledee detects your team and offers “Import the whole team”: it imports every member’s event types and availability, and the round-robin / collective pages with their host pool. This is a Team plan feature.
- Members who already have a Caledee account are matched by email and added to your organisation.
- Members without an account are invited by email. When they sign up, their dashboard shows a “Coming from Calendly?” prompt so they can import their own event types with their own Calendly — or you can re-run the team import to pull everyone in. Both paths are safe to repeat (no duplicates).
What to check after migrating
- Your links change — from
calendly.com/you/eventtocaledee.com/u/you/event(or your own domain). Update them everywhere: email signature, website, social bios, QR codes. Old Calendly links keep working on Calendly until you close that account. - Re-set the fine rules (buffers, minimum notice, daily limits, booking window) — the importer lists them as “to review”.
- Reconnect your calendars in Integrations and set your default availability.
Nothing is ever written back to Calendly — the importer only reads. Keep your Calendly account open until everything is switched over.
